Refund Policy

Our Approach to Refunds and Cancellations.

This Refund Policy applies to all professional design, consultancy, and creative service engagements provided by Artrivedi Design and Innovation ("Artrivedi", "we", "us", or "our"). It sets out the terms under which refunds, credits, or adjustments may be applicable, and should be read alongside our Terms and Conditions.

Because Artrivedi provides bespoke, knowledge-intensive professional services — not physical goods or off-the-shelf software — our refund approach reflects the realities of creative and consultancy work where significant time, expertise, and resources are committed from the moment an engagement begins. We ask all prospective clients to read this Policy carefully before engaging our services.

1. Nature of Our Services

Artrivedi Design and Innovation provides custom professional services — including branding consultancy, UI/UX research and design, UX auditing, visual design, video production, and artistic AI — that are tailored for each individual client engagement.

As with all professional service engagements, a significant proportion of the value we deliver is embedded in time, expertise, and strategic thinking invested before any tangible deliverable is produced. We approach refund and cancellation situations with fairness and professionalism, seeking to reach a reasonable resolution in every circumstance.

2. Advance Payments and Deposits

Artrivedi typically requires an advance payment (project deposit) at the commencement of a project engagement, as specified in the relevant Proposal. The purpose of this deposit is to confirm the Client's commitment and enable Artrivedi to schedule studio resources and commence discovery and planning activities.

  • Project deposits are non-refundable once work on the engagement has commenced
  • If a Client cancels before any work has commenced — before Artrivedi has initiated any discovery, research, or project planning — a full refund of the deposit will be issued, less any administrative or payment processing costs incurred
  • 'Commencement of work' includes: kick-off calls, intake questionnaire review, competitive research, brief preparation, initial ideation, and any other studio activity undertaken in relation to the project

3. Project Cancellations by the Client

In the event that a Client wishes to cancel or terminate a service engagement after commencement, the following provisions apply:

  • Cancellation before delivery of any Deliverables: The Client shall pay for all time invested to the date of cancellation at Artrivedi's standard studio day rate, plus a kill fee equal to 25% of the remaining unpaid project fees
  • Cancellation after delivery of initial Deliverables (e.g., initial concepts, wireframes, first-draft brand identity): No refund is applicable on fees paid. All outstanding fees for work completed plus the 25% kill fee are due
  • Cancellation after delivery of final Deliverables: No refund is applicable. All fees are due in full. Final Deliverable packages represent the completion of the engagement scope
  • All cancellation requests must be submitted in writing. Cancellations are effective from the date written notice is received by Artrivedi

4. Revisions and Dissatisfaction with Deliverables

Artrivedi is committed to delivering exceptional work that meets the agreed brief. Our standard process includes structured revision rounds as specified in each Proposal.

If a Client is dissatisfied with Deliverables, the following process applies:

  • Step 1 — Submit written feedback: Clearly explain the specific aspects that do not meet the agreed brief, within 5 business days of delivery
  • Step 2 — Artrivedi reviews feedback: Where the dissatisfaction relates to work that does not meet the agreed specifications, Artrivedi will revise the work within the agreed revision scope at no additional charge
  • Step 3 — Change of direction: Where dissatisfaction relates to a change in preference, strategy, or brief (rather than a failure to meet the agreed brief), additional revision work will be scoped and quoted separately

Refunds are not issued on the basis of subjective creative dissatisfaction where the Deliverables demonstrably meet the agreed brief.

If, having exhausted the agreed revision rounds, both parties agree in good faith that a Deliverable has fundamentally failed to meet the agreed brief due to Artrivedi's error, a proportionate resolution will be discussed — which may include additional revision work, a partial credit toward future services, or in exceptional circumstances, a partial refund of the specific fee component affected.

5. Cancellations by Artrivedi

In the rare event that Artrivedi is unable to continue or complete a service engagement:

  • We will provide the Client with written notice as promptly as practicable
  • We will deliver all work completed to the date of termination in its current state
  • We will issue a refund for any prepaid fees attributable to work not yet commenced at the date of termination
  • In force majeure circumstances beyond our reasonable control, Artrivedi will endeavour to resume services as soon as practicable and work with the Client to reach a fair resolution

6. Subscription and Retainer Engagements

For monthly retainer arrangements, the following cancellation terms apply:

  • Either party may terminate a retainer engagement by providing 30 days' written notice
  • Retainer fees for the current month in which notice is given are non-refundable, as studio resources are allocated on a monthly basis
  • Any prepaid retainer fees for months beyond the notice period will be refunded in full
  • Unused deliverable capacity within a given retainer month does not roll forward and is not refundable unless otherwise agreed in writing

7. Workshop and Consultancy Session Cancellations

For standalone workshops, strategy sessions, UX audit engagements, or consultancy intensives:

  • More than 7 business days before the scheduled session: Full refund less a 10% administrative fee
  • 3 to 7 business days before the session: 50% refund of prepaid session fees
  • Less than 3 business days before the session: No refund — the session fee is payable in full
  • Rescheduling requests received more than 3 business days before the session can be accommodated once without penalty, subject to studio availability
  • Where Artrivedi cancels or reschedules a session due to unforeseen circumstances, a full refund or reschedule option will be offered to the Client

8. How to Request a Refund or Raise a Concern

To raise a concern, request a refund, or discuss a cancellation, please contact us in writing through our website contact form. Please include:

  • Your full name and company name
  • The project or engagement reference
  • A clear description of your concern or cancellation request
  • Any relevant supporting documentation

We commit to acknowledging all requests within 2 business days and to resolving them within 14 business days of receipt where resolution is within our control.

9. Refund Processing

Where a refund is approved and due:

  • Refunds will be processed using the same payment method as the original transaction, unless an alternative is agreed in writing
  • Refunds will be issued within 14 business days of the approval of the refund request
  • Artrivedi is not responsible for delays caused by financial institutions or payment processors beyond our control
  • All refunds are issued in the same currency as the original payment — Artrivedi is not responsible for any currency conversion differences

10. Governing Law

This Refund Policy is subject to the governing law provisions in Artrivedi Design and Innovation's Terms and Conditions. In the event of any conflict between this Policy and the Terms and Conditions, the Terms and Conditions shall prevail.

11. Updates to This Policy

We reserve the right to update this Refund Policy at any time. The current version will always be published on our website with a revised effective date. We encourage all Clients to review this Policy before commencing any engagement.
